In this era of the digital world, “Data” is of the utmost important aspect of your computer. Computer hardware can fail, data can be corrupted, and computers can be lost, stolen, or destroyed. Worse, the Internet is full of threats to the integrity of your data. Viruses and Trojans don’t just steal your data; in some cases they also erase it. There’s also the growing phenomenon of ransomware. This is where a hacker puts a virus on your computer that encrypts your data. You then have to pay hundreds of dollars to have them decrypt your data. If you’ve backed up your data, this is less of a concern. You can just wipe the hard drive and restore it to your latest backup. It doesn’t matter if you lose your data because of mechanical failure, a natural disaster or criminal malice, your data is gone. However, the data doesn’t need to be lost. You can back it up. Data backup software can help you protect and restore your data when something goes wrong.

One should take the backup of all the important files and folders. Files may include your Word documents, Excel, PPT, PDF, ZIP, program setup files, and also your data backup of important software like TallyPrime etc.

There are 5 ways you can take your data backup- 

  1. Keep it in the Cloud
  2. Save it to an External Hard Drive
  3. Burn it to a CD, DVD, or a Blu-ray Disc
  4. Put it on a USB Flash Drive
  5. Save it to a NAS device.

The frequency of your data backup solely depends upon how critical your data is. If the data you want to backup is of a lower priority then you may take weekly or monthly backups. However, if the data is very critical and your data on the computer changes very often then daily backups or even hourly backups are necessary.

You can either take backups manually on your physical USB flash drive or Google Drive cloud storage. Or you can automate your backups through free data backup tools available online. One of them is Cobian Backup Software. It works smooth and you can customize as per your requirements.

Tally Data backup is also of utmost importance. Taking a backup of your data at regular intervals helps to retrieve you’re backed up data when your existing data is lost. Using TallyPrime, you can easily take a backup of your company data any time and restore it when you need it.

To take a backup of your data;

  1. Go to Gateway of Tally > F3: Cmp Info > Backup to view the Backup Companies on Disk screen.
  2. Source – The folder path where your company data is stored. By default, the folder path of your existing company data is displayed here.
  3. Destination – The folder path where the data backup has to be stored. You can store the backup locally on your computer, on an external storage device, or on storage space on the network.
  4. Select the required company from the List of Companies. Select all items to back up the data of all the companies.
  5. Press Ctrl+A to initiate the backup process.

Using the Tally.Server9 Monitor, the Account Administrator / Site Administrator can configure Tally.Server9 to automatically create a backup of data at a specified time and at the desired location.

[Useful Tip: Nowadays most of our conversations and communications happen via Whatsapp messaging software. So it is of high importance to take the backup of those conversations also. To Backup your WhatsApp Data > Open WhatsApp > Tap Menu > Settings > Chats > Chat Backup. Tap Back up to Google Drive.]
